About the job

Filling Pieces is looking for a dedicated Executive Assistant who will provide a high level of support to the Creative Director who leads the business from the front. The Executive Assistant possess a proactive attitude and exceptional organisational skills to be a real asset to the Creative Director whose time is constantly in demand. Management of complex calendars together with managing ever changing travel itineraries, email communications to ensure timely responses, and upkeep of efficient email filing systems for ease of retrieval and follow up. All duties performed require considerable confidentiality, initiative and mature independent judgment. Leadership qualities such as dependability and accountability are required together with a high degree of professional independence and self-discipline. Responsibilities:

  • Serve as the primary liaison and gatekeeper for the Creative Director to determine which meetings and calls are essential to attend
  • Assist with the prioritization of daily activities and help to keep Creative Director on track with meetings
  • Act as a fill-in during meetings on behalf of the Creative Director to record detailed notes, and follow up on critical information
  • Accompany Creative Director to key executive meetings
  • Maintain working knowledge of organizational structures and department responsibilities
  • Creates email correspondence for Company announcements and to external industry executives
  • Prioritize pending approvals and ensure signature and requests are processed in a timely manner
  • Anticipate issues before they arise while independently working to resolve them
  • Exercise excellent judgement and decision making on behalf of the Creative Director
  • Provide administrative support
  • Calendar management involving maintaining, prioritising and scheduling all meetings including meeting room bookings and external reservations
  • Managing and forward planning of all travel requirements for the Creative Director including international flights, accommodation, car transfers, visa applications, scheduling meetings, preparing travel itineraries and managing time zone differences
  • Assist with attention to the aesthetics and wellbeing of the creative department, especially when the Creative Director is travelling
  • Following up with staff members to ensure deadlines, project briefings etc. are met (forward planning a must). Collecting and collating all project approvals for your sign off
  • Establishing a system for all filing to ensure easy access at all times

  • Minimum Bachelor’s degree
  • 5+ years of relevant work experience
  • Preferably work experience in the creative industry
  • Be able to achieve high performance goals and meet deadlines in a fast-paced environment
  • Team player with interpersonal skills
  • Must possess excellent listening, oral and written communication skills
  • Excellent organisational skills with focus on accuracy and attention to detail
  • Strong time management skills; ability to prioritise multiple tasks efficiently
  • Be proactive in following up on details, anticipating issues, and closing loops on all requests
  • Fluent communication skills in written and spoken English and Dutch
  • Handle confidential information with discretion
  • Proficient with Microsoft Suite and Keynote
  • Flexible to travel
  • Positive and critical attitude
