As an Account & Office Assistant you’re part of the Back Office and provide administrative support to several teams. Your main responsibility is to support our five Group Account Directors (GADs), ten Creative Directors (CDs), Head of Communications Planning and Head of Planning on completion of expense reports, submitting timesheets, meeting scheduling and travel arrangements. As you manage multiple calendars and schedules you are able to prioritize conflicting needs. You enjoy supporting people and foster internal connections. It’s important that you understand and live our culture.   Main responsibilities

  • Maintain calendars, organize and schedule appointments/meetings
  • Ensure timely attendance at meetings
  • Gather, organize and submit expense reports
  • Gather input and complete timesheets
  • Check holidays requests and holiday hours
  • Take care of travel needs
  • General secretarial duties
  • Partner closely with the Executive Assistant on scheduling meetings and team logistics
  • Prioritize and distinguish tasks between ‘urgent’ and ‘important’

  • Ability to effectively and appropriately interact with co-workers at a variety of levels, across many disciplines
  • A proven track record of gaining trust and respect by consistently demonstrating sound critical thinking skills and maintaining composure in stressful situations
